Outlook

Search, read and send email and manage your calendar from a conversation — always in your own Microsoft 365 mailbox.

The Intric Outlook integration connects an assistant to your own Microsoft 365 mailbox and calendar. Once connected, you can ask an assistant to find and summarise email, draft and send replies, and look up, book or move meetings, without leaving Intric.

The assistant can read on its own. Anything that sends mail or changes your calendar asks for your approval first, unless your organization has set it up differently (see Approval before the assistant acts).

When the Outlook integration is enabled on an assistant, the assistant can:

Email

  • Search messages — by keyword, sender, recipient, date range, read or unread, importance, or whether the message has attachments. Searches cover the whole mailbox or one folder, up to 100 results at a time.
  • Read a message — the full text of an email, with sender, recipients and the names of its attachments
  • List folders — your mail folders, with how many messages and unread messages each holds
  • Send an email — to, cc and bcc, saved in Sent Items
  • Reply or reply all — with the original message quoted
  • Forward an email — with its attachments, to the addresses you name

Calendar

  • List events — the meetings in your calendar between two dates
  • Create an event — with title, time, location, attendees, description and reminder, as an all-day event or as a Teams meeting
  • Update an event — change any of those details
  • Delete an event — if the event has attendees, Outlook sends them a cancellation

The assistant decides which of these to use from your question, so you do not need to name them.

By default, the assistant runs the reading actions (search, read, list folders, list events) straight away. Before it sends, replies, forwards, or creates, changes or deletes an event, it shows you what it is about to do and waits for you to choose Approve or Deny.

Your organization’s administrator decides this per action and can change it: switch an action off, let it run without asking, or let you choose Always allow for yourself. How these settings work is described in Capabilities and approval.

  1. Open Integrations in the left sidebar
  2. Switch on Outlook
  3. Sign in with your Microsoft account and approve the requested permissions

Once connected, any assistant with the Outlook integration enabled works in your mailbox and calendar on your behalf. If Outlook is not on the page, your organization has not enabled it.

Only your own mailbox: Intric reaches the mailbox and calendar of the account you signed in with, and nothing else. Shared mailboxes and other people’s mailboxes and calendars are not available through this integration. For a shared mailbox, see Shared mailbox (Outlook).

Section titled “Admin consent and organizational requirements”

Outlook asks Microsoft for permission to read and change your mail, send mail on your behalf, and read and change your calendar. In organizations where Entra restricts user consent to third-party apps — common in security-conscious environments — an administrator must grant consent before anyone can connect.

If connecting fails, contact your Intric administrator and refer them to the Outlook setup guide.

Describe what you want in your own words. For example:

  • “Find the email from Anna about the contract renewal and summarise it”
  • “Do I have any unread emails about the product launch this week?”
  • “Reply to Anna that we accept the new terms, and copy Jonas”
  • “What meetings do I have on Thursday?”
  • “Book 30 minutes with Anna on Friday afternoon as a Teams meeting”
  • Your mailbox only: this integration does not reach shared mailboxes or other users’ mailboxes and calendars. Intric does support shared mailboxes, but they need custom configuration. If you are interested, contact support@intric.com
  • Attachments are not read: the assistant sees the name, type and size of each attachment, but not its contents. To work with an attachment, save it and upload it to the conversation
  • Text only: inline images and embedded media in an email cannot be read
  • No moving or deleting email: the assistant cannot move messages between folders or delete them
  • Your default calendar: events are listed and created in your main calendar
  • Admin consent may be required: see the setup guide

Open Integrations, switch off Outlook, and confirm with Disconnect. Intric stops reaching your mailbox and calendar at once. Your Microsoft account, email and calendar are unaffected.

If you have also connected SharePoint, Teams, or OneDrive, those connections remain active and are managed separately. See Microsoft Teams, OneDrive, and SharePoint.
