Sharing and access in Spaces
The difference between edit access and view access, and the three levels of view access.
Access to a Space splits in two: edit access for the people who build and maintain what’s in it, and view access for the people who use it. View access then comes in three levels — the whole organization, named user groups, or named individuals.
Edit access
Section titled “Edit access”Edit access is granted through Space roles: Space Admin or Space Editor. Both can build and change assistants and knowledge; only a Space Admin can manage members and the Space’s security classification. See Roles in Spaces.
View access
Section titled “View access”View access controls who can use the Space’s published assistants without being able to change them. It comes in three levels, set from the Space’s access settings.
- Organization access — in a public Space, every user in your organization can see and use its published assistants.
- Group access — specific user groups can see and use the Space’s published assistants.
- Individual access — specific named people can see and use the Space’s published assistants, without belonging to a broader group.
Public and private Spaces
Section titled “Public and private Spaces”A public Space grants organization-wide view access by default. A private Space is invisible to anyone not explicitly invited or added through a group — useful for particularly sensitive material, such as management or HR matters.
How classification limits sharing
Section titled “How classification limits sharing”Sharing is always bounded by the Space’s security classification: you can only share access with people who are permitted to see information at that classification level, whatever view-access level you grant them.
