Transcription settings
Turn transcription on or off for your organization, an assistant or a model, and how long recordings and transcripts are kept.
Transcription is on for every organization by default. As an Admin you decide which transcription models exist and where they may run; Space editors decide which assistants transcribe; and Intric can turn transcription off for the whole organization at your request. This page covers each of those switches, and how long Intric keeps recordings and transcripts. For how people record and transcribe, see Transcription.
Turning transcription off for the organization
Section titled “Turning transcription off for the organization”If your organization should not transcribe at all, ask Intric to turn transcription off for it. You can’t make this change from the Admin pages yourself. On a self-hosted installation, your operator does it by removing the transcription module from the organization.
Once transcription is off, it disappears from the interface for everyone in the organization:
- the Record page, the microphone in the conversation input, and uploading audio and video files to a conversation;
- the transcription model settings on assistants, and the transcription models under Models.
Audio and video files already in conversations stay where they are. Opening one downloads the file instead of showing a transcript.
To turn transcription back on, ask Intric again. Every organization has it unless it has been turned off.
Narrower controls
Section titled “Narrower controls”Transcription can also be limited without turning it off everywhere.
Which models are available
Section titled “Which models are available”An assistant can only transcribe with a transcription model your organization has enabled. Enable or remove transcription models under Models.
Where each model may run
Section titled “Where each model may run”Each transcription model has a security classification, and a Space can only use models classified for its level. Use this to keep sensitive recordings away from a model that runs outside your requirements. See Model classification and Processing regions.
Which assistants transcribe
Section titled “Which assistants transcribe”Each assistant has its own transcription model, chosen in its AI Setup. Anyone who can edit the assistant can set it to Off. Someone who then picks that assistant for a recording is told Transcription is turned off for this assistant. before they send. See AI setup.
The Record page
Section titled “The Record page”Intric is turning the Record page on account by account. People who don’t have it yet can still record from the microphone in the conversation input.
How long recordings and transcripts are kept
Section titled “How long recordings and transcripts are kept”Recordings that are never sent
Section titled “Recordings that are never sent”A recording made on the Record page is uploaded to Intric in short pieces while it runs, and a copy of each piece stays in the browser until Intric has it. If nobody sends the recording, Intric deletes it after one day, both on its servers and in the browser. The browser copy goes the next time someone opens Intric in that browser.
If someone presses Send but the message never goes out, the recording’s audio file is deleted after three days. The same goes for an audio or video file uploaded to a conversation but never sent in a message.
A recording made from the microphone in the conversation input never reaches Intric until the person clicks Send. Until then it exists only in their browser.
Recordings that are sent
Section titled “Recordings that are sent”Once a recording is sent, it is a file attached to a message in a conversation, and the transcript is stored with it. Both are kept as long as the conversation is, and deleted with it:
- The assistant’s retention period. If the assistant that received the recording has a data retention period, Intric deletes the message with its recording and transcript once the message is older than that period. See Data retention policy.
- Deleting the conversation. When someone deletes the conversation, Intric also deletes the recordings and other files uploaded to it.
If recordings must not be kept long, give the assistants people send them to a short retention period. A dedicated meeting assistant with its own retention period keeps that rule away from assistants that need a longer history.
