Members
Add and remove people and groups in a Space, and change what they can do there.
Members are the people and groups who have access to a Space. Adding someone gives them access to what’s in it, so membership is the main access-control decision a Space admin makes — and only a Space admin can add, remove, or change a member’s role.
Adding members
Section titled “Adding members”Adding a person
Section titled “Adding a person”- Open the Space’s Members section.
- Click to add a member and search by name or email.
- Select the person and choose their role — Admin, Editor, or Viewer.
Adding a user group
Section titled “Adding a user group”Add a whole user group at once, rather than inviting each person individually — useful when an entire department should get the same access. See User groups.
Changing a member’s role
Section titled “Changing a member’s role”Change a member’s role from the Members list at any time. The change takes effect immediately.
Removing a member
Section titled “Removing a member”Removing a member revokes their access to the Space immediately, including any published assistants and knowledge inside it.
Changing several members at once
Section titled “Changing several members at once”Select several people in the Members list and change their role, or remove them, in one step — useful when a project ends or a department reorganises, rather than repeating the same action down the list. The Users page in Administration works the same way for the organization as a whole.
What a new member gains access to
Section titled “What a new member gains access to”Before adding someone, review what’s already in the Space: files uploaded to knowledge, and the instructions and attachments of every assistant in it. If Insights is enabled on any assistant there, that includes the full history of everyone’s conversations with it too. Only invite people who have a legitimate need for all of that.
Public Spaces and members
Section titled “Public Spaces and members”In a public Space, every user in your organization can see and use its published assistants regardless of membership. Membership in a public Space is still what determines who can edit it — see Sharing and access in Spaces.
