Shared mailbox (Outlook)
Let your assistant read and search a shared mailbox — for triage, summaries and drafting groundwork.
Shared mailboxes like info@, support@ or planning@ fill up faster than they empty. This integration lets the assistant read and search the mailbox, so triage, summaries and draft groundwork can be prepared automatically.
What it is
Section titled “What it is”A read-only connection to a shared Microsoft 365 mailbox via Microsoft Graph. The assistant can list folders and messages, search full text, open an individual message and read the text content of attachments.
There are no writing tools. The integration cannot send, reply, forward, move, flag or delete — that capability simply does not exist in the connection.
Use it for
Section titled “Use it for”- “What came into the shared mailbox today, and what is it about?”
- “Sort this week’s incoming cases by type and suggest which unit should take each one.”
- “Find all correspondence relating to case 2025-1043.”
- “Summarise the attachment in the latest message from the supplier.”
- “Is anything still unanswered that is more than three days old?”
- “Draft a reply to this message, grounded in our procedure.”

Data and permissions
Section titled “Data and permissions”- Read and search, nothing else. No writing capability exists in the connection.
- Access is locked to the mailbox in Exchange Online. Permissions are constrained with an Application Access Policy, so the identity reaches exactly the designated mailboxes and no others in the organisation — even if something goes wrong further up the chain.
- No user tokens on the wire. The integration is its own OAuth client against Entra ID and mints its access token itself. Neither your users’ tokens nor Microsoft’s ever travel across the connection between Intric and the server.
- A certificate is recommended over a client secret during setup.
Getting started
Section titled “Getting started”Your IT department registers an application in Entra ID, grants it application-level mail read permission, and locks it to the mailbox in question with an Application Access Policy. You get a ready-made step-by-step guide to hand to IT. Contact your Customer Success Manager to get started.
Limitations
Section titled “Limitations”- Read-only. The assistant can prepare a reply, but a person sends it.
- Attachments are read as text. Non-text content such as images is not returned.
- One configuration per deployment. Which mailboxes are included is decided at setup, not by the user in the moment.
- Permissions are at mailbox level. Everyone with access to the assistant reaches everything in the configured mailbox. Choose the mailbox and the assistant’s permissions accordingly.
