Admin walkthrough

Organisation, AI models, tools, users, groups, insights, usage, resources, audit log and the personal assistant.

You will find the admin view in the top right corner if you have administrator permissions. This is where you steer and review the whole organisation’s usage.

The first thing you meet is Organisation — a quick overview of how the organisation uses Intric, how much storage is in use and how many tokens have been consumed.

The AI models tab lists every model you can choose between. At the top you switch between three types:

  • Completion models — the ones that write the text in the chat
  • Embedding models — the ones that handle uploaded information
  • Transcription models — the ones that handle audio files

You can also switch off models the organisation should not be able to use.

Tip: click a model to see more about it, including where it runs.

Here you find every integration that can be connected to Intric, and you can switch them off for the whole organisation. Click Edit to see what an integration does and what information it reaches.

If an integration requires sign-in, each user has to sign in the first time they use it: profile icon at the bottom left → ProfileIntegrations → sign in to the chosen integration.

A way to limit which models and tools may be used depending on the type of information being handled. We cover this in the next section.

The Users tab shows everyone with access to Intric, when they were last active and which role they hold. You can also change a user’s role.

There are two ways to invite people:

Option 1 — manual invitation

  1. Click Create invitation
  2. Enter the person’s email address
  3. Choose the role they should have
  4. Click Send invitation

Option 2 — SSO. Contact support@intric.ai if you want to enable sign-in through your own identity provider.

Create user groups to make it easier to invite whole groups to a Space. Groups also let you follow usage at group level — for instance to allocate costs between departments.

Manually:

  1. Click Create new group
  2. Give the group a name
  3. Add users
  4. Save

Via AD groups: groups can be connected directly from your Active Directory. Contact support@intric.ai for help with that.

Here you see usage statistics, answering questions such as:

  • How many people are active?
  • Which assistants are being built?
  • How much are the assistants used?

Under Usage you find storage and token consumption, plus an overview of every Space that exists.

Click Tokens at the top to see, beyond the total, consumption per model and per user group.

Under Assistants you see every assistant that has been created, with details of who created it, which model it uses and which Space it lives in.

Under Spaces you get an overview of all Spaces, which security classification they carry and who the members are.

Here you find the history of usage in Intric. As an administrator you can see who did what, and when.

The personal assistant is a general assistant that is always present, whether or not the user has created any assistant of their own. It is the first assistant everyone meets when they log in. You, as administrator, choose its settings — and it matters that this is done before users start logging in.

To set it up:

  1. Choose a security classification — decide which rules apply.
  2. Choose a data retention policy — decide how long history is kept.
  3. Choose an AI model — pick the model that will be the engine.
  4. Enable features — decide whether the assistant should have access to tools such as transcription or web search.

Our recommendation: the personal assistant is often a user’s first experience of Intric, so it should be a good one. Choose a capable model (Claude Sonnet, for example) and switch on web search. That gives the best possible experience and reduces the risk of shadow AI — colleagues turning to tools outside the organisation’s control. If you need to work with a different type of information, we recommend creating dedicated assistants for that instead.
